Last updated: November 11, 2025

Welcome to ProAI, provided by ProAI.co ("We", "Us" or "ProAI"). This privacy policy ("Privacy Policy") applies to your use of our website, services, products, and applications (collectively, the "Services").

This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Services. Please read it carefully. By using our Services, you consent to the collection, use, and disclosure of your personal information as described in this Privacy Policy.

1. Information We Collect

We collect several types of information for various purposes to provide and improve our Service to you:

Personal Data:

While using our Services, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you ("Personal Data"). Personal Data may include, but is not limited to, your email address, name, phone number, postal address, etc.

Usage Data:

We may also collect information about how the Services are accessed and used ("Usage Data"). This Usage Data may include information such as your computer's IP address, browser type, browser version, the pages of our Services that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers, and other diagnostic data.

Cookies Data:

Like many websites, we use "cookies" to collect information. Cookies are small pieces of data stored on your device (computer or mobile device). You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent.

2. How We Use Your Information

We use the collected information for various purposes:

  1. To provide and maintain our Services.

  2. To notify you about changes to our Services.

  3. To allow you to participate in interactive features of our Services when you choose to do so.

  4. To provide customer care and support.

  5. To provide analysis or valuable information so that we can improve our Services.

  6. To monitor the usage of our Services.

  7. To detect, prevent and address technical issues.

3. How We Protect Your Information

We take the security and privacy of your information seriously. To ensure the safety of your data:

Third-Party Certifications:

We are ISO 27701 and ISO 27001 certified by an independent third-party firm, demonstrating our commitment to information security management.

GDPR Compliance:

Our practices are compliant with the General Data Protection Regulation (GDPR), ensuring strong data protection standards for our users.

Secure Data Storage and Processing:

We use Microsoft Azure for data storage and Google Cloud for data processing, both industry-leading platforms with robust security measures.

Content Delivery:

We utilize Cloudflare CDN to distribute content, which provides additional layers of security and performance optimization.

User Authentication:

Customer login information is securely managed through Auth0, a trusted identity and access management platform.

AI Processing:

When using AI capabilities, we interact with third-party APIs and platforms (for example, Claude, Perplexity, Groq, OpenAI, and similar providers) to power features of the Services. ProAI does not use your Personal Data to train ProAI-owned or ProAI-controlled AI models. Where an AI vendor uses data to improve or train its own systems, that processing is governed by that vendor’s privacy policy and its contract with us, and such vendors are required to comply with applicable data-protection laws and to use your data only to provide services to us.

Data Separation:

ProAI does not use customer information to train ProAI-owned or ProAI-controlled AI models. Customer information used in our Services is stored with trusted cloud and infrastructure providers (such as Microsoft Azure and Google Cloud) rather than on ProAI’s own physical servers.

4. Third-Party AI and Optimization Services

We use the collected information for various purposes:

  1. We may use certain Service Providers that employ artificial-intelligence (AI) or machine-learning technologies to help us deliver, personalize, or measure our Services—for example, optimizing the timing, channel, and content of messages we send to you or on your behalf, or analyzing engagement with our Services. These providers process Personal Data as our Processors, under our instructions and subject to contractual restrictions consistent with GDPR and CCPA.

  2. ProAI itself does not use your Personal Data to train ProAI-owned or ProAI-controlled AI models. However, some third-party providers may, in accordance with their own privacy policies and their contracts with us, use data generated through their services (for example, aggregated or anonymized engagement metrics) to maintain, improve, or train their own models. Where this occurs, the provider—and not ProAI—is responsible for such independent processing.

  3. We require such providers to comply with applicable data-protection laws and to limit their use of Personal Data to what is necessary to provide their services. To the fullest extent permitted by applicable law, ProAI is not liable for a provider’s use of Personal Data that

  1. exceeds our documented instructions, or

  2. violates that provider’s own legal obligations or privacy commitments.

5. Disclosure of Your Information

We will not share your personal information except in the circumstances described below:

Service Providers:

We may employ third-party companies and individuals (“Service Providers” or “Processors”) to facilitate our Services, to provide the Services on our behalf, to perform Service-related activities (such as communications delivery, analytics, infrastructure, payment processing, or customer support), or to assist us in analyzing how our Services are used.

These Service Providers may have access to your Personal Data only to perform these tasks for us and are contractually obligated to:

  1. process Personal Data solely on our documented instructions and for specified business purposes;

  2. implement appropriate technical and organizational security measures; and

  3. not “sell” or “share” Personal Data as those terms are defined under applicable law.

While we take reasonable steps to select and oversee Service Providers, we do not control and are not responsible for their independent compliance decisions or for any use of Personal Data that goes beyond our instructions or our agreements with them, except to the extent such responsibility is required by applicable law.

Legal Requirements:

We may disclose your Personal Data in the good faith belief that such action is necessary to comply with a legal obligation, to protect and defend our rights or property, to prevent or investigate possible wrongdoing in connection with the Services, to protect the personal safety of users of the Services or the public, or to protect against legal liability.

6. Security of Data

The security of your data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

7. Changes to this Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes.
